Terms of service.

Last Updated: October 2026

These Terms of Service (“Terms”) govern your use of this website and the services offered by Danielle Garcia (“I,” “me,” or “my”).

By accessing this website, submitting an inquiry, scheduling or purchasing a service, or otherwise using my services, you acknowledge and agree to these Terms. If you do not agree with these Terms, please do not use this website or my services.

1. Services

I provide administrative and health insurance support services to healthcare and wellness practices and individuals.

Services may include administrative organization and support, insurance-related administrative assistance, eligibility and benefits verification, claims-related support, assistance reviewing insurance information or documents, and general help understanding or navigating health insurance processes.

The specific services, scope of work, timing, fees, and other terms applicable to a client may also be described in a service agreement, proposal, invoice, booking page, or other written communication.

2. Administrative Support Only

My services are administrative and educational in nature.

I am not an insurance company, insurance carrier, healthcare provider, attorney, accountant, financial advisor, or other licensed professional unless expressly stated otherwise.

Information or assistance I provide should not be considered medical, legal, tax, financial, or other professional advice.

You remain responsible for making decisions concerning your healthcare, insurance coverage, business, finances, and other personal or professional matters.

3. Insurance Information and Outcomes

I make reasonable efforts to provide accurate and helpful insurance-related support based on the information available at the time services are performed.

However, health insurance information can change, and information provided by an insurance carrier or other third party may be incomplete, delayed, or inaccurate.

Verification of insurance benefits is not a guarantee of coverage or payment.

I cannot guarantee:

  • Eligibility or coverage

  • The amount an insurance carrier will pay

  • Reimbursement

  • Claim approval

  • Authorization approval

  • Payment of a claim

  • The accuracy of information provided by an insurance carrier or other third party

  • A particular resolution or outcome

Final decisions regarding eligibility, coverage, benefits, claims, authorizations, reimbursement, and payment are made by the applicable insurance carrier, health plan, or other responsible party.

4. Client Responsibilities

To allow me to provide services effectively, you agree to provide information that is accurate and complete to the best of your knowledge.

You are responsible for reviewing information, documents, and work provided to you and notifying me promptly if you believe something is incorrect or requires clarification.

You are also responsible for responding to reasonable requests for information when that information is necessary for me to complete the requested service.

Delays, incomplete information, inaccurate information, or failure to provide requested materials may affect my ability to complete services or meet anticipated timelines.

5. Sensitive Information

Please do not submit medical records, Social Security numbers, insurance identification numbers, financial account information, protected health information (“PHI”), or other sensitive information through the general website contact form.

If sensitive information is necessary after you become a client, I may provide instructions regarding an appropriate method for sharing it.

Healthcare practices are responsible for ensuring they are authorized to provide information necessary for the services they request.

Where applicable, my access to or handling of PHI on behalf of a healthcare practice may also be governed by a separate Business Associate Agreement (“BAA”).

6. HIPAA and Healthcare Practice Clients

When services provided to a healthcare practice make me a “business associate” under the Health Insurance Portability and Accountability Act of 1996 (“HIPAA”), the parties may enter into a BAA as required by applicable law.

Any applicable BAA is separate from these Terms and governs the use, disclosure, and safeguarding of PHI associated with that client relationship.

If there is a conflict between these Terms and an applicable BAA concerning PHI, the BAA will control with respect to that PHI.

7. Scheduling and Appointments

Appointments and consultations are subject to availability.

You are responsible for providing accurate contact information when scheduling and for being available and prepared to begin your appointment at the scheduled time.

Appointments are reserved specifically for you. Please notify me as soon as possible if you need to make a change to your scheduled appointment.

Any complimentary follow-up time included with a service is part of that specific service and has no separate cash value.

8. Fees and Payment

Fees for services may be displayed on the website, communicated before booking, included in a proposal or service agreement, or otherwise agreed upon in writing.

Payment terms will be provided before or at the time services are purchased or agreed upon.

Additional work outside the scope of the service originally purchased or agreed upon may require additional fees. I will communicate with you before performing additional billable work that materially exceeds the agreed-upon scope.

You are responsible for providing accurate billing and payment information when payment is required.

9. Cancellations, Rescheduling, Late Arrivals & Refunds

Your appointment time is reserved specifically for you. I value both your time and mine, and the following policies apply to scheduled services.

Cancellations & Rescheduling

Appointments canceled or rescheduled more than 24 hours before the scheduled appointment time may be rescheduled without a cancellation fee.

The new appointment must take place within three (3) days of the original appointment date and is subject to availability.

If we are unable to find a mutually available appointment time within that three-day window, 50% of the original service fee will be refunded, and the remaining 50% will be retained as a cancellation fee.

Cancellations or rescheduling requests made within 24 hours of the scheduled appointment time will be charged the full service fee and are non-refundable.

24-Hour Cutoff

The 24-hour cancellation window is a firm cutoff. Once an appointment is within 24 hours of its scheduled start time, it is considered a late cancellation and the full service fee applies.

This applies even when a cancellation or rescheduling request is made only shortly after the 24-hour deadline. There is no grace period or extension to the cancellation window.

Maintaining a consistent cancellation policy allows me to protect the time reserved for each client and provide the same consideration to everyone I work with.

Missed Appointments & No-Shows

Missed appointments and no-shows will be charged the full amount of the scheduled service and are non-refundable.

Missed appointments cannot be credited toward a future service.

A no-show may also result in the loss of future booking privileges. I reserve the right to decline future appointments following a no-show, particularly in cases of repeated missed appointments or failure to communicate.

Late Arrivals

There is no grace period for late arrivals. Appointments begin and end at their originally scheduled times.

If you arrive late, your appointment will still end at the originally scheduled time, and the full service fee will apply. Depending on the length of the delay, there may not be enough time remaining to complete the scheduled service.

Emergencies & Unexpected Circumstances

I understand that true emergencies and serious unexpected circumstances can occur.

Exceptions may be considered for circumstances such as hospitalization, a serious medical emergency, a death or serious emergency involving an immediate family member, or another significant and unforeseen event that reasonably prevents you from attending your appointment.

Emergency exceptions are considered on a case-by-case basis and are not guaranteed.

Refunds

Once a scheduled service has begun, the service fee is non-refundable. Completed services are also non-refundable.

If I need to cancel or reschedule your appointment, I will make reasonable efforts to provide as much notice as possible and arrange another appointment time.

If I am unable to provide a service that you have already paid for, I will work with you to reschedule the service or provide an appropriate refund for services not performed.

Complimentary Follow-Ups

Some services may include a complimentary follow-up appointment. Complimentary follow-ups are included as part of the original service and have no separate cash or refund value.

Complimentary follow-ups are subject to the same cancellation, rescheduling, late-arrival, and no-show policies described above.

10. No Guarantee of Results

I will make reasonable efforts to provide services carefully and professionally. However, I cannot promise or guarantee a specific result.

In particular, purchasing insurance-related support does not guarantee that an insurance company will approve a claim, authorize treatment, determine that a service is covered, reimburse a particular amount, reverse a denial, or resolve an insurance issue in your favor.

11. Third-Party Information and Services

My services may involve information, websites, portals, systems, or decisions controlled by third parties, including insurance carriers, healthcare practices, payment processors, scheduling providers, and other service providers.

I do not control these third parties and am not responsible for their independent actions, decisions, errors, omissions, availability, policies, or practices.

Links to third-party websites may be provided for convenience and do not constitute an endorsement or guarantee of those websites or services.

12. Website Content

The information provided on this website is for general informational purposes.

Although I make reasonable efforts to keep website information current and accurate, I do not guarantee that all website content will always be complete, current, or error-free.

  • Violate applicable law

  • Submit false, fraudulent, or intentionally misleading information

  • Interfere with the operation or security of the website

  • Attempt to gain unauthorized access to systems or information

  • Infringe upon the rights of another person or organization

  • Use website content for unlawful or unauthorized commercial purposes

I reserve the right to decline or discontinue services when reasonably necessary, including in circumstances involving fraud, abusive or inappropriate conduct, conflicts of interest, requests outside the scope of my services, misuse of services, or failure to comply with agreed payment or service terms, subject to applicable law and contractual obligations.

15. Limitation of Liability

To the fullest extent permitted by applicable law, Danielle Garcia will not be liable for indirect, incidental, special, consequential, or punitive damages arising from or relating to your use of this website or services.

I am not responsible for losses or outcomes resulting from decisions or actions of insurance carriers, health plans, healthcare providers, healthcare practices, government agencies, or other third parties outside my reasonable control.

Nothing in these Terms is intended to exclude or limit liability that cannot legally be excluded or limited.

16. Indemnification

To the extent permitted by applicable law, you agree to indemnify and hold Danielle Garcia harmless from third-party claims, liabilities, damages, or reasonable expenses arising from your unlawful use of this website or services, your material violation of these Terms, or information or materials you provide without appropriate authorization.

17. Privacy

Your use of this website is also subject to my Privacy Policy, which explains how personal information may be collected, used, shared, and protected.

When applicable, the handling of PHI for a healthcare practice may also be governed by a separate BAA.

18. Changes to These Terms

I may update these Terms periodically to reflect changes in my services, website, business practices, or applicable requirements.

When changes are made, the “Last Updated” date at the top of this page will be revised.

Your continued use of the website following the posting of updated Terms constitutes acceptance of the updated Terms to the extent permitted by applicable law.

19. Governing Law

These Terms are governed by the laws of the State of California, without regard to conflict-of-law principles.

Any dispute arising from these Terms or your use of this website or services will be subject to applicable California and federal law.
